City Tennis — Course & Cancellation Policy
Effective date: September 1st, 2025
1. Scope
This policy applies to all City Tennis courses, private lessons (1-on-1), semi-private lessons (1-on-2), and group classes run by City Tennis.
2. Booking & Payment

All lessons and courses must be paid in full at the time of booking unless another arrangement is agreed to in writing.

For recurring bookings or block purchases, a credit card on file is required to secure reservations and to cover late cancellation/no-show fees.
3. Cancellation Windows & Fees

Private (1-on-1) and semi-private (1-on-2) lessons:

Cancellations must be made at least 24 hours before the scheduled lesson start time.

Cancellations made less than 24 hours in advance will be charged the full lesson fee.

Group classes and multi-week/block registrations:

Cancellations must be made at least 48 hours before the scheduled class start.

For multi-week sessions, earlier notice (e.g., 72 hours) may apply—see program-specific terms.

No-shows: Participants who fail to attend without timely cancellation will be charged the full lesson fee.
4. 1-on-2 (Semi-Private) Attendance Rule

All City Tennis courses are treated as private bookings.

For 1-on-2 lessons, the lesson is considered cancelled if any registered participant cannot attend and no substitute participant fills the spot before the start time.

If a replacement participant is found and approved by City Tennis before the lesson begins, the lesson proceeds as scheduled. If not, the absent participant(s) will be charged according to the cancellation rules.
5. Make-ups, Credits & Refunds

Make-ups / credits: City Tennis may, at its discretion, offer a make-up lesson or account credit for lessons cancelled within the required notice period. Make-ups are subject to coach and court availability.

Refunds: Unless otherwise stated, payments are non-refundable for reasons including change of mind, vacation, scheduling conflicts, or forgetting to attend. Credits (not refunds) are the standard remedy.
6. Coach Cancellations & Substitutions

If City Tennis or the assigned coach must cancel a lesson (illness, emergency, or unavoidable facility issue), City Tennis will offer a make-up lesson, a credit, or an alternate instructor.

If City Tennis cancels without providing a suitable alternative, a full refund or credit will be issued for the cancelled lesson.
7. Late Arrival & Lesson Time

Lessons begin and end at the scheduled times.

Late arrivals reduce lesson time but do not extend it.

Repeated tardiness may result in policy review.
8. How to Cancel or Request Changes

All cancellations and rescheduling requests must be submitted by email to citytennisinfo@gmail.com.

Phone calls, texts, or verbal messages to coaches or staff will not be accepted as valid cancellation.

The timestamp of the email will determine whether notice requirements have been met.
9. Enforcement & Charges

Fees for late cancellations and no-shows will be charged to the card on file.

Repeated late cancellations may result in loss of booking privileges or the requirement to pre-pay lessons.
10. Exceptions
-
City Tennis is a fully indoor training center, and lessons are not cancelled due to normal weather conditions.

However, if severe weather or traffic disruptions (e.g., snowstorms, flooding, major road closures) make it unsafe or unreasonable to reach the facility, City Tennis may, at its discretion, waive late cancellation fees and issue a credit or make-up lesson. Clients must email citytennisinfo@gmail.com as soon as possible in such situations.
11. Changes to Policy

City Tennis reserves the right to modify this policy at any time.

Updates will be posted publicly and communicated to affected participants.
